The Erie Art Museum is seeking a detail-oriented and enthusiastic Events Coordinator to support the planning and execution of mission-aligned events and fundraising initiatives. This part-time position plays a vital role in strengthening community engagement, supporting donor cultivation, and elevating the Museum’s visibility through thoughtfully executed programming and facility rentals.

Primary Responsibilities
Ensure all events reflect the Museum’s mission and provide an exceptional visitor experience
Assist the Development Director in planning and executing signature Museum events, including Gallery Night, fundraising and member events, exhibition openings, and donor receptions
Coordinate logistics for internal programs and public events in partnership with staff and community partners
Serve as the primary contact for all Museum rental inquiries and bookings
Work with event and facilities to ensure proper set up for all events
Proactively plan and execute strategies to achieve revenue goals
Manage rental client communications and oversee all logistical needs for private events, including setup, staffing, and vendor coordination
Maintain and update rental policies, price sheets, and promotional materials
Maintain an event calendar and ensure all event logistics are communicated across departments
Manage and order inventory and event supplies
Provide on-site support and leadership during events, including evenings and weekends as needed
Track attendance, collect feedback, and assist in post-event reporting and evaluation
Maintain knowledge of and adherence to all Erie Art Museum policies and procedures
Other duties as assigned
Required Qualifications
Minimum of 2 years of experience coordinating public or private events
Excellent organizational and time management skills with strong attention to detail
Strong interpersonal and communication skills with a customer-service mindset
Comfortable working both independently and collaboratively with diverse stakeholders
Ability to work flexible hours, including evenings and weekends, as required by events
Valid driver’s license and ability to travel locally as needed
Must obtain (or have current) PA State Police Criminal History Clearance, PA Child Abuse History Clearance, and FBI Criminal History Clearance. (EAM will assist in acquiring these if not already completed.)
Preferred Qualifications
Bachelor’s degree in Event Management, Hospitality, Communications, or a related field
Proficiency with Google Workspace (Gmail, Calendar, Drive, Docs, Sheets)
Experience working in a nonprofit, arts, or cultural institution
Familiarity with event management tools and systems (e.g., rental software, project management apps)
Ability to perform tasks that require moderate physical exertion (moving tables/chairs, event setup, etc.)
PA RAMP Server/Seller training, current or past certification
Schedule
Part-time: schedule varies based on events booked, many events take place during evening and weekend hours with the busy season typically May through October.
