The Warehouse Operations Assistant plays a critical role as the first point of contact for visitors while providing essential administrative and operational support across departments.
This position blends front-desk coordination, agency order processing, communication support, and detailed administrative work to help maintain smooth daily warehouse operations. What You’ll Do
Front Desk & Visitor Coordination
- Greet, welcome, and direct visitors, clients, and guests in a professional and friendly manner.
- Answer, screen, and route incoming phone calls using a multi-line system; take and distribute messages as needed.
- Manage incoming packages and deliveries; distribute items to appropriate staff.
- Monitor visitor access and issue badges or maintain visitor logs according to company policy.
- Maintain a clean, organized, and welcoming reception area and entranceway.
Agency & Operational Support
- Utilize company software to create and process agency orders and invoices.
- Help coordinate agency pickups, donor drop-offs, volunteer arrivals, and delivery truck scheduling.
- Coordinate and track donation and food drive intake; communicate details to Development for reporting and acknowledgments.
- Facilitate communication between the warehouse and other departments to ensure smooth workflow.
Administrative & Data Management
- Perform accurate data entry and maintain organized physical and electronic filing systems.
- Prepare donor appreciation letters and other correspondence.
- Assist in preparing reports, presentations, and documentation.
- Perform clerical duties including spreadsheets, proofreading, filing, photocopying, and collating.
- Provide general administrative support to warehouse and other departments as directed.
- Perform other duties as assigned by leadership.
What You’ll Bring
- Minimum of two years of customer service or related experience.
- Previous receptionist or administrative experience preferred.
- Strong organizational skills with the ability to multitask in a fast-paced environment.
- Familiarity with multi-line phone systems.
- Proficiency in Microsoft Office Suite.
- Excellent written and verbal communication skills, including proofreading ability.
- Strong attention to detail and ability to manage multiple priorities.
- Professional demeanor when interacting with agencies, donors, volunteers, and the public.
- Ability to work independently while collaborating effectively with multiple departments.
Education & Experience
- High School Diploma or GED required.

- Outstanding interpersonal skills.
- Ability to effectively present information and respond to inquiries from agencies, donors, clients, and the general public.
Mathematical Skills
- Ability to add, subtract, multiply, and divide using whole numbers, fractions, and decimals.
- Ability to compute rates, ratios, and percentages.
Certificates, Licenses & Requirements
- No specific certifications required.
Physical Demands
- Regularly required to use hands, reach, talk, and hear.
- Frequently required to stand, walk, and sit.
- Occasionally required to climb, balance, stoop, kneel, or crouch.
- Must regularly lift up to 10 pounds and occasionally up to 25 pounds.
- Vision requirements include close, distance, color, depth perception, and ability to adjust focus.

- Office and warehouse setting.
