OVERVIEW

The Out-of-School Time Programs Manager oversees curriculum quality and daily operations for Dafmark’s after-school programs, ensuring student safety, academic support, and engaging enrichment experiences.

This role requires strong leadership, communication, and organizational skills to create a positive, supportive environment that promotes youth development and learning.

Key duties include:

  • Staff supervision and training
  • Parent and community engagement
  • Budget coordination
  • Program reporting and attendance tracking

 

ESSENTIAL ROLES AND RESPONSIBILITIES

1) Program Development & Oversight

Curriculum: Ensure staff and teaching artists submit high-quality, age-appropriate weekly lesson plans.

Operations: Oversee daily operations of the Dafmark JEHGA programs (Dafmark Creative Arts Center and Dafmark Youth Wellness Center), ensuring compliance with policies, procedures, and safety standards.

Programming & Enrichment:

  • Coordinate guest speakers, workshops, and community partnerships
  • Schedule field trips and arrange transportation

Reporting & Monitoring: Evaluate program effectiveness and prepare monthly reports on attendance, engagement, and outcomes.

Food & Supplies:

  • Purchase weekly snacks, culinary arts supplies, and dinner program items, prioritizing local sourcing when possible
  • Collect and submit staff inventory requests prior to each term

Staff Coverage: Substitute at either after-school location as needed.

 

2) Staff & Participant Management

Hiring & Training: Assist the Program Director with recruiting and onboarding new staff.

Staff Supervision: Supervise after-school staff through daily group check-ins and weekly individual meetings.

Volunteer & Youth Worker Programs: Maintain and develop relationships with community partners supporting volunteers and interns.

Student Support: Promote positive behavior, conflict resolution, and student engagement.

Enrollment & Records:

  • Conduct new student intakes
  • Maintain accurate student records, including intake forms, FERPA documentation, demographic data, attendance, and progress reports

 

3) Community & Family Engagement

Parent Communication: Maintain consistent communication with parents and guardians.

Parent Advisory Board: Establish and support a parent advisory group.

Communications & Outreach:

  • Produce a quarterly newsletter
  • Document daily program activities through photos, videos, and brief written content for social media

Community Partnerships: Build relationships with families, community leaders, and organizations to strengthen program impact.

Events & Special Programs:

  • Coordinate student artwork submissions to community events and media outlets
  • Serve as liaison for the Walking School Bus program with the Blue Coats
  • Support enrollment marketing efforts
  • Submit annual requests for the Hooked on Books program
  • Assist with the annual art show and theater production

 

4) Administrative & Financial Duties

Budget Support: Assist the Program Director with program budget management.

Administrative Tasks: Support billing, payroll coordination, and record maintenance.

Grant Support: Research and write small grants to support program initiatives (training provided).

 

KEY SKILLS & QUALIFICATIONS

  • Bachelor’s degree in education, social work, nonprofit management, or related field OR 5 years of direct childcare experience
  • Minimum 2 years of leadership or program management experience, preferably within a non-profit, after-school or educational setting.
  • Ability to obtain and maintain required clearances (Acts 114, 34, and 151)
  • Valid driver’s license and ability to travel occasionally
  • Strong commitment to Dafmark’s mission
  • Excellent written and verbal communication skills
  • Strong organizational, time management, and problem-solving abilities
  • Proven experience supervising staff and fostering teamwork
  • Ability to collaborate with families, staff, and community partners
  • Knowledge of school-age child development
  • Proficiency in Microsoft Office, email systems, Canva, Slack, and willingness to learn new tools
  • Ability to sit for extended periods and lift up to 25 pounds

 

POSITION DETAILS

  • 40 hours per week, with a 30-minute unpaid lunch break
  • School Year: Monday–Friday, 11:00 AM–8:30 PM
  • Summer: Monday–Friday, 10:00 AM–7:30 PM
  • In-person position
