POSITION SUMMARY
The Marketplace Coordinator is responsible for the overall daily operations and strategic development of our marketplace-style food pantry and the integrated "Order Ahead" system. This dynamic role ensures a welcoming, dignified, and efficient experience for all neighbors, manages inventory, oversees volunteer activities, and plays a key role in ensuring the Marketplace meets the evolving needs of the community. The Coordinator will be pivotal in maintaining a well-stocked and diverse selection of food items, optimizing both the in-person shopping experience and the streamlined pre-order fulfillment process.

DUTIES AND RESPONSIBILITIES

Marketplace Operations & Neighbor Experience:
- Provide compassionate and respectful service to all neighbors, addressing inquiries and concerns with empathy and professionalism.
- Oversee the daily setup, stocking, and breakdown of the Marketplace, ensuring a clean, organized, and inviting shopping environment.
- Ensure compliance with all food safety and sanitation regulations, including proper storage temperatures, date rotation (FIFO), and cleanliness of the facility.
- Ensure all Marketplace equipment is in good working order and regularly cleaned.
- Arrange food displays aesthetically and functionally, mimicking a retail grocery store experience to maximize neighbor choice and satisfaction.
- Assist neighbors during their shopping visits, providing guidance on food choices and nutritional information.
- Implement and maintain efficient neighbor flow processes for in-person shopping.
- Register new neighbors, collect necessary intake information, and maintain confidential neighbor records.
- Maintain accurate daily, weekly, and monthly statistics on neighbor visits, food distributed, and other relevant program metrics, generating reports as required.
- Train and supervise volunteers for Marketplace operations, providing clear tasks and instructions, ensuring efficient workflow and positive volunteer experience.
Order Ahead System Management:
- Manage the end-to-end operation of the Order Ahead system, from order placement through fulfillment and pickup.
- Oversee the collection, processing, and scheduling of pre-orders received via phone, online portal, or other designated channels.
- Coordinate and supervise the picking, packing, and staging of pre-ordered food boxes/bags, ensuring accuracy and timeliness for scheduled pickups.
- Develop and refine processes for efficient order fulfillment, minimizing wait times and maximizing neighbor convenience.
- Manage communication with "order ahead" neighbors regarding order status, pickup instructions, and any necessary adjustments.
Other Duties:
- Perform other duties as assigned by senior leadership.

There are no supervisory responsibilities for this position.
EDUCATION and/or EXPERIENCE
Bachelor's degree (B.A.) from four-year college or university; or 1 to 2 years related experience and/or training or equivalent combination of education and experience.
LANGUAGE SKILLS
Ability to communicate with co-workers effectively and efficiently. Ability to write reports and correspondence with strong written and interpersonal communication skills. Ability to effectively present information and respond to questions and complaints from neighbors, donors or business associates of the organization and the general public.
MATHEMATICAL SKILLS
Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to compute rate, ratio, and percent and to draw and interpret bar graphs.

- Valid driver’s license with a good driving record

OTHER SKILLS AND ABILITIES
- Willingness to work beyond working hours as necessary.
- Experience and proficiency in Windows based computer software are mandatory.

- Experience with problem solving.
- Knowledge of non-profit organizations and understanding of volunteer programs.
- Community relations experience and knowledge of identifying community needs.
- Must be willing to travel.
PHYSICAL DEMANDS
While performing the duties of this job, the employee is regularly required to use hands to finger, handle, or feel; reach with hands and arms; and talk or hear. The employee frequently is required to stand, walk, and sit. The employee is occasionally required to climb or balance and stoop, kneel or crouch. The employee must regularly lift and/or move up to 10 pounds and occasionally lift and/or move up to 25 pounds. Specific vision abilities required by this job include close vision, distance vision, color vision, depth perception, and ability to adjust focus.
WORK ENVIRONMENT
While performing the duties of this job, the employee is occasionally exposed to outside-weather conditions. The noise level in the work environment is usually mild to moderate.
